8:00 AM to 5:00 PM -- Monday thru Friday

Under limited supervision provides administrative and support functions to the Water Well Standards Program. 

Monday – Friday – 8:00 a.m. – 5:00 p.m. – Flexible Schedules – After 6 month probationary period 10 hour workdays may be available 

Location: 1200 N Street

• Assists candidates through the licensure process by interpreting Title 178 regulations and related statues • Preparing exam packets, proctoring exams, monitoring/evaluating exam pool questions with current regulations.

• Answer all phone and other communications regarding policies, procedures and regulations pertinent to the program, continuing education information and licensing requirements.

• Collects and reviews documents to verify all required information is received, accurate and in compliance with policies/statutes/regulations for pre-notifications, declaratory orders, inspections and continuing education programs

• Collect, analyze and compile information and/or data to create reports, charts and/or graphs and update records, design and maintain databases

• Procure equipment/supplies, maintain equipment inventory, supply of printed materials, library and exam reference materials.

• Develop, maintain or modify manual and computerized tracking/monitoring systems for assigned program such as violations and status of projects

• Oversee the activities of the Water Well Standards and Contractors' Licensing Board, generally will schedule conference rooms, record and transcribe meeting minutes, process and track billings, invoices, room reservations, reimbursements and travel requests and develop agendas and compile information.

• Responsible for publishing public notices, designing and editing program newsletters and collaborating with partners and program staff on news articles.

• Oversee the continuing education program per Board approval, compose determination letters for continuing education providers and maintain continuing education database.

REQUIREMETNS: Post-secondary degree in office management, secretarial/office support, customer service, administration, or a related area. OR One year of experience in office management, secretarial/office support, customer service, or administration, including use of computer software such as word processing, spreadsheets, and database management. OR One year of coursework/training or experience involving research, presentation, or publication in an area related to the programs or functions of the employing agency.

PREFERRED: Experience with Microsoft Access, Excel, PowerPoint and Word, Onbase and License 2000. Excellent customer service skills, time management experience, written communication skills, management experience. 

OTHER: Valid driver's license or the ability to provide independent transportation; travel required: Regular and reliable attendance

Knowledge of: office processes and procedures; customer service processes and principles; administrative support procedures. Computer applications such as word processing, file management, record keeping, and database management.

Skill in: active listening; asking questions; understanding instructions; using word processing; creating spreadsheets, charts, graphs, and reports; managing time, schedules, and priorities; monitoring and assessing program performance; applying critical thinking techniques.

Ability to: analyze and recommend alternative courses of action to meet agency goals; communicate in person, by telephone and written exchanges; summarize technical data and results of research into reports; understand and apply instructions and program administrative policies and directives; implement decisions made and take actions selected by others to achieve work goals; learn agency policies and procedures pertinent to the work assignment.
