DHHS Staff Assistant II

$17.22 -  Hourly
8:00 AM to 5:00 PM -- Monday thru Friday

Under limited supervision provides administrative and support functions to the Sanitarians performing inspections and compliance activities for Swimming Pools, Well and Septic Home Loans, Recreational Camps, Daycares, Schools, College Cafeterias and Mobile Home Parks.

  • Maintain the inspection database and provide information for staff scheduling and compliance monitoring.
  • Answer all phone and other communications regarding policies, procedures and regulations pertinent to the programs.
  • Collects and reviews documents to verify all required information is received, accurate and in compliance with policies/statutes/regulations for inspections and compliance documents.
  • Collect, analyze and compile information and/or data to create reports, charts and/or graphs and update records, design and maintain databases
  • Procure equipment/supplies, maintain equipment inventory, and a supply of printed materials.
  • Develop, maintain or modify manual and computerized tracking/monitoring systems for assigned program such as violations and status of projects
  • Schedule conference rooms, process and track billings, invoices, room reservations, and travel requests.

Post-secondary degree in office management, secretarial/office support, customer service, administration, or a related area.


One year of experience in office management, secretarial/office support, customer service, or administration, including use of computer software such as word processing, spreadsheets, and database management.


One year of coursework/training or experience involving research, presentation, or publication in an area related to the programs or functions of the employing agency.


Valid driver’s license or the ability to provide independent transportation; travel required with occasional overnights; ability to lift 35 pounds; willing and able to maintain regular and reliable attendance.

Preference: Experience with Microsoft Access. Additionally, Excel, PowerPoint, and Word, and Onbase.  Excellent customer service skills, time management experience, written communication skills, management experience.

Knowledge of:  office processes and procedures; customer service processes and principles; administrative support procedures.  Computer applications such as word processing, file management, record keeping, and database management.

Skill in: active listening; asking questions; understanding instructions; using word processing; creating spreadsheets, charts, graphs, and reports; managing time, schedules, and priorities; monitoring and assessing program performance; applying critical thinking techniques.  

Ability to: analyze and recommend alternative courses of action to meet agency goals; communicate in person, by telephone and written exchanges; summarize technical data and results of research into reports; understand and apply instructions and program administrative policies and directives; implement decisions made and take actions selected by others to achieve work goals; learn agency policies and procedures pertinent to the work assignment.
